The Department of Biostatistics has an outstanding opportunity for a full-time staff member to manage academic human resources activity for its faculty and to assist the Department Chair. The Assistant to the Chair reports directly to the Chair and is responsible for academic affairs management for a core faculty of approximately 30 and another 40 adjunct or affiliate faculty appointments. In addition, the position supports the chair by assisting with scheduling, document preparation/review, and administrative oversight of the main departmental office.
The position requires excellent command of complex human resources procedures involving faculty appointments, renewals, and promotions. The incumbent must be able to move quickly between projects, maintain detailed records, and communicate with diverse offices effectively and discreetly.
This position is a key member of the Departmental staff and provides essential support to the executive leader of the department. The Department of Biostatistics at the University of Washington is recognized internationally as a leading department in the teaching of graduate students and in conducting research in applied and methodogical areas. .
The Assistant to the Chair of the Department of Biostatistics performs duties in three roles:
Academic Affairs Manager: (a) Manage the collection, preparation, and submission of materials for the following processes: Faculty promotions, renewals, promotions, new appointments, retirements, and resignations; sabbatical requests; visa applications; endowed professorships and lecture series; intra- and inter-institutional Memoranda of Understanding (MOU); Faculty annual activity reports; and, as needed, appointments and reappointments for Post-Docs (Senior Fellow), Visiting Faculty, Emeritus Faculty, Graduate Faculty status, Visit/Viser internships. (b) Support and coordinate activities for faculty and local building staff including the following: Take meeting minutes for semi-monthly faculty meetings; prepare finished minutes for review by chair; disseminate and track Surveys for national associations, training requirements for HIPAA, Human Subjects, Financial Interest Disclosure, and other awareness programs; coordinate facility maintenance and support; determine and post resources for the faculty and department as a whole, including faculty rosters, faculty committee assignments, faculty meeting schedules, meeting minutes, reporting requirements, departmental directories.
Executive Assistant to the Chair: Manage schedules; screen/manage phone calls and email; answer requests for chair input from other offices; communicate chair decisions and responses; prepare correspondence and other documents.
Departmental Human Resources System Trainer and Resource: Serve as a key trainer and resource for navigating appointment, leave, and job change processes as transacted in the UW’s new online Human Resources and Payroll system “Workday”; answer questions, provide individual and group training sessions, and assist in resolving request and approval workflows.
