Description:

EVENTS: The MSDS program holds many events to support current students, job seekers, alumni and admitted students. The Program Operations Specialist will handle all logistics and event planning to make sure these events run smoothly and are attended by appropriate members of the UW and industry communities. Activities to accomplish these goals include:

  • Work with other MSDS program staff to build an event calendar that includes events for current students, alumni and prospective students
  • Organize and plan program events (advisory board meetings, new student orientation, graduation, employer job fairs, and alumni events). Arrange catering, venue rental, marketing/publicity, audio/visual equipment, and logistics.
  • Identify appropriate attendees from student, alumni, faculty and industry networks and invite them to events
  • Assess event strengths and weaknesses and document lessons learned for future events
  • Manage event budgets, and provide financial analyses and/or cost projections as requested
  • Attend all program events

    INFORMATION ORGANIZATION: Much information about the MSDS program exists in e-mails, files on individual computers, Google Drive documents, and personal memory. Some information is not centralized at all. The Program Operations Specialist will bring this information together in an easily searched and understood fashion to enable more efficient program operations. Activities may include:

  • Assess current information landscape and what it is missing
  • Develop strategy for organizing program information
  • Research solutions for implementation, for instance a new CRM to replace Insightly
  • Implement and maintain this new information organization system
  • Identify new information organization and communication challenges and investigate possible solutions

    ADMISSIONS: The MSDS program receives a large number of applications each year. The Program Operations Specialist will support this work through the following activities:

  • Screening applications, assigning reviewers, exporting information and sending admissions decisions through MyGrad Program
  • Participating in admissions meetings
  • Answering prospective student questions via phone and e-mail
  • Working with admitted students to visit campus or otherwise access information necessary to make an informed enrollment decision

    SCHEDULING, INCLUDING TIME SCHEDULE

  • Schedule and plan meetings with large attendance lists, including Interdisciplinary Data Science Group, Industry Advisory Board, and other meetings with campus stake-holders
  • Coordinate program course scheduling, Time Schedule and rooms, including identifying and communicating planning deadlines, gathering and communicating complete information on DATA-prefix courses
  • Communicate as single point of contact with Professional and Continuing Education (PCE) operations regarding course times, room assignments, instructors and enrollment limits

    OTHER LOGISTICAL SUPPORT

  • Order office supplies and other necessary items
  • Identify support needs (IT, facilities, HR, professional development) and schedule them

 

Skills/Eligibility:

 

  • REQUIREMENTS:

  • Bachelor’s degree
  • At least two years of progressive responsibility and related experience with information management, scheduling, project or program coordination
  • Strong attention to detail
  • Experience with program and project implementation, including getting stakeholder buy-in
  • Commitment to continuous improvement
  • Ability to prioritize between multiple opportunities for maximum impact given finite time and resources
  • Excellent time-management and organizational skills and the ability to independently manage work across multiple projects, meeting specific timelines.
  • Strong interpersonal skills with demonstrated ability to communicate both verbally and in writing with professionalism, diplomacy, and sensitivity.
  • Able to handle sensitive situations with diplomacy and confidentiality.
  • Excellent oral and written communication skills
  • Extensive knowledge of Microsoft Word, Excel, PowerPoint
  • Demonstrated strong organizational skills and attention to detail and ability to complete several task streams simultaneously            

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    DESIRED:

  • Four to five years of progressive responsibility and related experience with information management, scheduling, project or program coordination
  • Event planning experience
  • Experience with cloud-based collaboration tools such as Google Drive and Zoom
