The Project Coordinator I will work under the supervision of the Cancer Prevention Program Operations Director and Senior Research Administration Manager to provide administrative and scientific support for faculty and staff. The project coordinator will have a diverse role assisting with grant application preparation and providing ongoing research and administrative support.

Responsibilities:

Grant Administration
  • Assist with the grant submission process by conducting key tasks such as: creation and communication of timelines to appropriate stakeholders, completion of non-technical portions of submission, and oversight of institutional signoff
  • Assist in developing budgets and other grant documents and interface with Fred Hutch grant management staff on grant applications
  • Assist with key post award activities such as: interpreting the notice of award, flagging unique aspects or budget adjustments and monitoring and adjusting the teams’ commitments across the portfolio of projects based on awards
  • Assist with monitoring and managing research expenditures
  • Communicate with Office of Sponsored Research and resolve budget issues, as necessary

Research Coordination
  • Maintain faculty members professional CV’s, NIH biosketch and Other Support, My NCBI, manuscripts and other documentation. Ensure that all information is current and complete.
  • Assist the PI with IRB submissions, maintaining OnCore database, implementing version control of study files, entering study accruals, preparing annual reports, and ensuring all studies are in compliance with IRO regulations
  • Assist with key administrative tasks such as ProCard reconciliation, scheduling meetings, purchasing and maintenance of supplies and equipment
  • Assist with updating and maintaining program resource documents and database
  • Coordinate all aspects of frequent and complex travel, including flight, hotel, necessary documentation (disclosure, copyright, video release and other forms) and reimbursements. Ensure that travel is appropriately charged, and all Fred Hutch and Program guidelines are met.

Skills/Eligibility:

Qualifications:

MINIMUM QUALIFICATIONS:
  • Bachelor’s degree or higher, preferably a master’s degree in public health or health services
  • Experience with project coordination, especially in a highly variable environment
  • Skilled at working with minimal supervision on projects
  • Exemplary organizational skills and attention to detail
  • Excellent communication skills with stakeholders at all levels of organization
  • Proficient in Microsoft Office applications, including Microsoft Teams

PREFERRED QUALIFICATIONS:
  • Experience with IRB/Human Subjects Research and principles of Good Clinical Practice
  • Strong computer skills, including database creation and management
  • Knowledge of EndNote and REDCap
