Job Summary
The Project Coordinator I will provide:
Administrative Support:

 

  • Schedule and participate in team meetings and support the use of technologies
  • Create meeting agendas, take meeting minutes, follow-up on action items, and track progress of various study deliverables
  • Manage and maintain file organization and structure, including supporting team in the use of Google Suite and procedures for document management and organization
  • Support coordination of logistics such as space and travel arrangements for team members
  • Prepare and process expense reimbursements and corporate card reconciliations
  • Support research purchases and inventory management in Boston and Ethiopia, coordinate with other administrative and research support staff to accomplish routine activities, such as ordering supplies; obtaining approvals; and arranging for shipping, catering, or repairs

Program Coordination:

  • Support the drafting of program documents, such as progress reports, donation/support letters, email correspondence, memos, letters of invitation, team biographies/biosketches, meeting and workshop agendas, and conference summary reports
  • Support coordination of project work plans, track activities, and monitor progress
  • Assist with the preparation of annual reports and grant submissions; work with team members to compile data and resources needed for grant applications and maintenance
  • Lead communications for the HaSET Maternal and Child Health Research Program, including writing regular newsletters, maintaining the program social media accounts, managing the website by posting working papers and ensuring that all information on the website is clear, accurate, and up to date

Research Coordination:

  • Support development of and track data use agreements, materials transfer agreements, sample use agreements, and other regulatory study documentation
  • Contribute to the process of managing IRB submissions and deliverables
  • Support the preparation of manuscripts, articles, and working papers for submission, which includes drafting sections, copy-editing and proofreading technical manuscripts, drafting submission cover letters, reformatting articles, formatting charts and tables, managing citations and references, and coordinating co-author signatures and disclosures
  • Performs literature reviews, drafts abstracts, and designs posters and presentations as needed
    and other duties as assigned

To qualify, you must have:

  • Work requires the knowledge of theories, principles, and concepts typically acquired through completion of a Bachelor’s degree in a health related field and at least one to two years’ experience in an administrative support role and/or projects-related role. Master’s degree preferred.
  • Excellent communication, verbal, writing, and presentation skills
  • Strong interpersonal skills to work with collaborators, stakeholders, and team members
  • Strong attention to detail, excellent time management, exceptional organizational skills, ability to prioritize multiple tasks, goal and detail-oriented work style, and meticulous and consistent follow through on projects
  • Commitment to maternal, newborn, and child health
  • Knowledge of statistical methods frequently used in public health research
  • Demonstrate professionalism and respect for human research. Prior research experience in preferred.
  • Experience with IRB submissions, data abstraction, and literature reviews is preferred.
