Job Duties
- Coordinate with the Prevention Division Systems Administrator to accomplish IT onboarding and IT provisioning for new Contact Tracing (CT) Team members.
- For all new CT Team staff, update team directory, provide access to shared calendar folders and ensure printer accessibility; prepare workspace and/or ensure the ability to work from home.
- Receive and distribute IT equipment to new staff; provide support for initial log on, access of HIPAA and other training, telecommuting, entry of work hours to PeopleSoft (payroll system), and other tasks associated with onboarding new staff.
- Coordinate with hiring managers to schedule and set up virtual job interviews for the team. (Ensure readiness of phone, computer).
- Purchase goods and services for the CT Team. This position may require the use of a P-card and the capability to process invoices through I-Expense and I-Procurement. This position may be responsible to monitor and review account activity expenditures, process and submit invoices to Accounts Payable for payment, and solicit bids, for goods and services for the team when necessary.
- Maintenance of office equipment for team, including, but not limited to purchasing office supplies, maintaining computer inventory tracking list, coordinating service repairs and renewal of service contracts for office equipment.
- Coordinate and handle work order requests that involve Facilities Management Division (FMD) for the contact tracing team. (request or reactivate ID badges for staff).
- Arrange meetings using doodle polls. Reserve conference rooms for meetings, set up Skype and Zoom meetings.
- Provide general admin support to the team.

- Customer service skills -working directly or over the phone with customers – new staff, citizens, providers, and vendors - in a fast-paced environment (exhibiting discretion, patience, etiquette, professionalism) with people from diverse racial, ethnic, and socioeconomic backgrounds.
- Excellent interpersonal communication and conflict resolution skills.
- Skilled at problem-solving, troubleshooting, organizing, prioritizing and completing multiple tasks simultaneously.
- Experience working with or in a workplace setting serving a diverse and/or underserved population under sensitive and stressful situations.
- Experience processing purchase orders and using purchase cards for goods and services in an integrated accounting reporting system.
- Demonstrated skill and experience in maintaining a high level of confidentiality and exercising good judgment independently.
- Experience onboarding and / or assisting new staff.
- Demonstrated skill in prioritizing workload and adapting to changes in workload demand in a high-volume work environment.
- Work experience that demonstrates skills of attention to detail.
- Valid Washington State Driver’s license required. Must be willing to drive to collect/distribute specimens within King County locations during and after business hours – including weekends and nights.
- Demonstrated ability to move up to 25-30 pounds in order to move boxes, retrieve health records, replenish office supplies with or without reasonable accommodation. This may involve intermittent lifting, standing, stooping, and bending, reaching and extensive walking during the course of the workday
The most competitive applicants will have the following experiences and qualifications (Desired):
- Knowledge of King County rules, regulations, codes, laws, policies, procedures related to procuring goods and services (including equipment and systems access via KCIT), records retention, and travel requirements.
- Working knowledge of Public Health personnel tracking systems – Systems Registration and Workforce.
- Experience with iProcurement and iExpense.
- Will have demonstrated knowledge and work experience handling confidential medical records, including management of public records request.

- Staff may be required to play an active role in the event of a public health emergency, which may include changes in responsibilities, work location and working hours.

The Administrative Specialist III position is a full-time Special Duty (SD) / Term Limited Temporary (TLT) position that will perform administrative duties for the COVID-19 Contact Tracing work of Public Health-Seattle & King County. This position will assist the Program Manager in supporting multiple staff within the Prevention Division with administrative support functions. Much of this work will be done remotely, but some will need to be done on the work site.

Work Schedule: The normal work schedule for this role is Monday - Friday, 8am - 5pm. This FLSA non exempt position is eligible for overtime.
