Description:

The Program Assistant is new position created to help ensure successful implementation of all programs and administrative functions at Hilltop Hanover Farm. Straddling multiple programmatic areas, the Program Assistant will work closely with the Farm Director and other staff on communications, sustainable agriculture and farm stand operations, public programs and K-12 education, community outreach and engagement, and general administration. Primary responsibilities include coordinating volunteers, overseeing produce donations to food pantries, assisting with all communications and events, and handling regular administrative and office tasks. The ideal applicant will be passionate about sustainable agriculture and willing to get their hands dirty while working on projects in the fields and gardens with staff and volunteers. As is common with most small organizations, our small but dedicated staff share many qualities, including being adaptable, flexible, and caring about the success of our organization.

Primary Responsibilities

  • Support and help grow the Hilltop Hanover Farm community by greeting visitors; conducting farm tours, answering phones, responding to all email inquiries
  • Regularly update website; prepare weekly newsletter and other communications; manage email lists
  • Provide general assistance with ongoing administrative functions including payroll, purchasing, contracts, and grant writing
  • Coordinate volunteer program; oversee volunteers during program days
  • Maintain relationships with our food bank and other community partners
  • Coordinate food donation schedule, with attention to matching produce donations to the individual needs of each of our food bank partners
  • Support regional farming by growing our value-added product line in the farm stand
  • Manage event and program registrations
  • Assist with special projects and fundraising events
  • Update donor logs and prepare donation tax receipts
  • Provide regular support for all programs including back-end support for online marketplace; record keeping and data entry; purchasing and receiving deliveries
  • Assist Farm Director and FHHF Board of Directors, as needed

This is a full-time (35 hours per week) position. The weekly schedule is 9am-5pm Monday-Friday, with occasional weekend or evening work for programs and events. Salary is commensurate with experience, $18-20/hour. Benefits include paid sick days, holidays and vacation.

Skills/Eligibility:
  • Detail oriented with clear communication skills
  • Computer proficiency; experience with all MS Office applications and various social media and online applications
  • Experience creating outreach materials and email marketing
  • Comfortably able to work outside while assisting with environmental and/or gardening programs and projects
  • Experience cultivating volunteers
  • Ability to be flexible with daily tasks
  • Valid NY Driver’s License or valid out-of-state license with driver history report
  • Hands-on experience in agriculture or horticulture preferred, but not required
