The Executive Coordinator plays a critical role in supporting the Executive Director and ensuring the smooth, effective operation of the organization’s leadership functions. This position serves as a trusted partner to the Executive Director, providing high-level administrative, logistical, and coordination support while acting as a key connector across board members, community and amongst staff to ensure collaboration throughout all levels of the organization.

This is full-time position is non-exempt (eligible for overtime) and will be supervised by the Executive Director.

RESPONSIBILITIES

Executive Support – 40%

  • Manage the Executive Director’s calendar, scheduling meetings, travel, and priorities with attention to detail, confidentiality, and mission impact
  • Prepare meeting materials, agendas, briefing documents, and follow-up notes
  • Anticipate needs and proactively problem-solve to keep leadership focused on community impact
  • Ensure timely follow-up on tasks, deadlines, and requests for information

Board & Governance Support – 20%

  • Coordinate board and committee meetings, including scheduling, agendas, materials, and minutes
  • Serve as a point of contact between the Executive Director and board members as needed
  • Support board onboarding, documentation, and compliance requirements

Organizational Coordination/Support – 20%

  • Support cross-departmental communication and coordination on key projects and deadlines
  • Track action items, deadlines, and deliverables from team meetings
  • Assist with internal systems, documentation, and process improvement
  • Support operations as needed

External Communication & Administration – 20%

  • Serve as a welcoming and professional point of contact for external partners, funders, and community members
  • Draft and edit correspondence, reports, and communications as needed
  • Support special projects, events, and initiatives led by the Executive Director
  • Maintain confidential records and uphold the highest level of discretion
